Privacy Policy

This Privacy Policy explains how BeardoBot ("BeardoBot", "we", "us" or "our"), the DayZ killfeed and server-management service available through the BeardoBot Discord bot and the website at beardobot.com (together, the "Service"), collects, uses and protects personal data. It also explains your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
By using the Service you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.
1. Who is responsible for your data
BeardoBot is the data controller for the personal data described in this policy that is processed to operate the Service. Where a Discord server owner connects their own game server and configures the Service, that owner determines how gameplay data about their players is used; in those cases BeardoBot acts as a processor on the owner's behalf, and the owner is responsible for informing their players. 2. Information we collect
We only collect what we need to run the Service:
- Discord account data. When you log in with Discord or interact with the bot, we receive your Discord user ID, username, avatar, and — for server administrators — the Discord servers (guilds) and roles that determine your access. We do not receive your Discord password or email unless you explicitly grant it.
- Account links. If you link your in-game account, we store the association between your Discord ID and your in-game gamertag / PSN ID so features like stats and the economy can attribute activity to you.
- Gameplay data. For servers connected to the Service, we process data derived from the game server's log files — such as kills, deaths, weapons, in-game positions, playtime and connection sessions — to power the killfeed, leaderboards, statistics, zones and related features.
- Economy, faction and feature data. Virtual currency balances, transactions, faction membership, shop orders and similar in-Service records you generate by using its features. This is virtual, in-game data and has no real-world monetary value.
- Server owner configuration. For administrators, the settings you configure and the credentials needed to manage your game server (for example Nitrado API tokens). Sensitive credentials are stored encrypted.
- Billing data. If you purchase a premium subscription, payments are handled by PayPal. We do not receive or store your full card details. We store your subscription status and the PayPal subscription/order identifiers needed to manage and verify your subscription.
- Technical data. A session cookie to keep you logged in, and standard server logs (such as IP address and request metadata) generated automatically when you visit the website, used for security and to keep the Service running.
3. How and why we use your data
We use personal data to:
- provide, operate and maintain the Service and its features;
- authenticate you and control access to administrative features;
- generate killfeeds, statistics, leaderboards and other gameplay features;
- operate moderation and server-management tools for server owners;
- process and verify premium subscriptions;
- keep the Service secure, prevent abuse and diagnose problems;
- communicate with you about the Service where necessary.
Our lawful bases under UK GDPR are: performance of a contract (to provide the Service you request), legitimate interests (to secure, improve and operate the Service, and to enable server owners to manage their communities), consent (where you choose to link an account or provide optional information), and legal obligation (where we must retain records, e.g. for billing).
4. How we share data
We do not sell your personal data. We share data only with:
- Discord — as the platform the bot operates on (see Discord's Privacy Policy);
- Nitrado — the game-server host, when managing a connected server on an owner's behalf;
- PayPal — to process subscription payments (see PayPal's Privacy Policy);
- hosting and infrastructure providers that run the Service on our behalf;
- authorities where required by law.
Server owners connected to the Service can see gameplay and account-link data relating to players on their own server, in order to run their community.
5. Data retention
We keep personal data only for as long as needed to provide the Service. Account links and gameplay data are retained while your account or the connected server remains active, and are removed or anonymised when a server is disconnected, on request, or when no longer needed. Billing records may be retained longer where required for legal or accounting purposes.
6. Your rights
Under UK data protection law you have the right to:
- access the personal data we hold about you;
- request correction of inaccurate data;
- request erasure of your data ("right to be forgotten");
- restrict or object to certain processing;
- request a copy of your data in a portable format;
- withdraw consent at any time, where processing is based on consent.
To exercise any of these rights, contact billing@beardobot.com. You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.
7. Security
We take reasonable technical and organisational measures to protect personal data, including encryption of sensitive server credentials and use of HTTPS. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
8. Children
The Service is not directed to children under the minimum age required to use Discord in their country (at least 13). Do not use the Service if you are under that age.
9. International transfers
Some of our providers (such as Discord and PayPal) may process data outside the UK. Where data is transferred internationally, we rely on appropriate safeguards as required by UK data protection law.
10. Changes to this policy
We may update this Privacy Policy from time to time. Changes take effect when posted on this page, and we will update the effective date above. Your continued use of the Service after changes means you accept the updated policy.
